Fall '97 Business Meeting

Minutes from Business Meeting, October 23, 1997

Stephanie Carter, the new president, called the meeting to order. She introduced herself and the new president-elect, Margaret Snyder, and explained that when Sarah Beasley changed jobs she gave up the presidency.

The minutes from the Spring meeting were reviewd and accepted. Stephanie wondered if Sarah had written the letter discussed at the last meeting.

Communication

Not everyone is receiving the communications sent by e-mail or posted on the Web page. Stephanie thinks perhaps people are not aware that is how they are being sent. It was agreed that one paper printout of the CLAM Chowder online version should be sent to each campus and that hard copies of voting and conference information should also be sent. She pointed out that in order for CLAMS to be viable time-wise it will be necessary to discontinue the creation of a separate hard copy of the Chowder.

Online Directory

Privacy issues were discussed. Some people had objected having their membership information available online. Since membership comes primarily through institutional memberships, and the employment information contained in the directory is public information that is already available in a variety of ways, privacy was not deemed to be an issue. Karen Michaelsen brought up the problem of home addresses and telephone numbers being included in the directory. This is only a problem with the life members (retirees) since the work addresses and telephone numbers are listed for those currently employed. We need to track down the information on life members; perhaps Helen Feeney has it? The old directory also indicated which libraries had paid institutional memberships. Dale Burke said this does not need to be included in the online directory. However, this information must be available as staff at non-member libraries need to pay $10 for individual memberships. It was agreed that no paper copy of the directory was needed. Dana Franks offered to take responsibility for maintaining the directory and the label database.

Treasurer's Report

As of 10/20/97, there was $2,762.81 in the treasury. It was agreed that CLAMS could use some of this money to pay for the refreshments for tonight's party (approximately $200). The treasurer's report was accepted.

Spring Conference

The WLA spring conference will be in Wenatchee following an ACRL pre-conference. Concern has been expressed that CLAMS is not hosting independent meetings and may be losing its identity. Marie Zimmerman suggested that CLAMS could pick a topic and ACRL would be welcome to join in if they feel the topic relevant to their members. LMDC has proposed the topic "Librarian as Educator" and CLAMS has agreed to collaborate with them. Marie said she would propose that topic to ACRL tomorrow and see what they think. Kelley McHenry pointed out that cooperating with other groups would provide networking opportunities and make it possible to afford better programs. Dale reminded us that we can always arrange a separate meeting if an issue arises. The reason there was no collaboration with ACRL this time was because their planning process was already in motion. It was agreed that CLAMS should continue to have their fall conferences on the West side and their spring conferences on the East side.

The question was raised whether we need interest group meetings in addition to the business meeting when we meet as part of another group.

ETI Funding Request

The LMDC made a pitch for the leftover $400,000 but there is nothing further to report.

Reciprocal Borrowing

There is no question that ILL is acceptable to everyone but agreement needds to be reached on what constitutes reciprocal borrowing and what it is expected to accomplish. Some library directors oppose it; will college presidents support it to the extent they would order their campus libraries to participate? Marie Zimmerman suggested a policy may be published then institutions who endorse it will sign.
